How to Make Personalized Place Cards with Guest Names


Wedding and party place cards can help your guests reach their designated table. Cards can be printed with guest names and table numbers assigned to each guest.

Whether it’s a wedding or a business conference, these tent shaped place cards are perfect for helping your guests find their seat at the event.

This tutorial explains how you can create custom place cards with the names of your guests and the table number they are assigned to. We’ll be using Google Sheets to create the party seating plan, Google Slides to design a place card template and Document Studio to create these place cards as PDFs in Google Drive.

Create a guest seating plan

Create a new spreadsheet within Google Sheets (sheet.new), enter the names from your guest list and assign a table number to each guest. Make sure the two columns have a title as shown in the screenshot above.

Create a place card template

Create a new slide deck within Google Slides (slides.new) or use this ready-made form to get started quickly. Go to File > Page Setup and change the default page size to 1050 x 1200 pixels. Add placeholders to enter the guest name and table number in the created ticket.

Please make sure that the placeholders are enclosed in double brackets and that they exactly match the column headings in the previous step.

advice: If you are not a designer, use one of the Canva templates and import the design into Google Slide as described in this tutorial.

Create place cards

The first step is to install Document Studio from Google Market. You can learn more about the installation process here.

Next, switch to the Google Sheet containing the guest list and reload the sheet so that the recently installed Document Studio appears inside the sheet.

Inside Google Sheet, go to the list of extensions, choose Document Studio and then choose Open. Create a new workflow, give it a descriptive name, and then choose the Google Spreadsheet containing the invitee list.

Go to Tasks screen and choose Create File The task is because we will create PDF files from the data in Google Sheets.

For the document template field, select File Google Slides The template you designed in the previous step. Then select a folder in Google Drive where the place cards will be saved. you can use {{ Name of Guest }} A placeholder for file name, thus it will generate unique file names for each PDF file.

Create place cards in bulk

Now that your configuration is complete, go to Save Screen and choose Save and Run Workflow. You will be present with the list of row numbers for which the place cards will be generated.

Click Run Workflow To instantly create custom place cards for each of your guests.

All place cards will be saved to your Google Drive folder. Advanced users can also combine PDF files and create a single high-resolution PDF file that is ideal for printing. For small gatherings, you can even include photos of your guests in the place card for a more personalized touch.
